Global Learning Operations Associate – Axios Charlotte

Job summary:
The Global Learning Operations Associate assists the Director of International Studies and the Global Learning Coordinator in the organization, coordination and implementation of global programs. They ensure the day-to-day management of the International Studies Office, organize finances, incoming and outgoing payments, internal/external communication and record keeping.

Main duties:
• Support for all areas and functions of the Office of International Studies while assisting in the work of the Director of International Studies and Global Learning Coordinator
• Manage all incoming and outgoing funds, check requests, wire transfers, receipts, invoices, credit card statements (Visa and American Express) for the International Studies office
• Oversee office schedule and complete work orders to book all international study meeting venues, food, plants and technical support services
• Assist the Director of International Studies with all necessary support for special visitors and events
• Design and distribute invitations, advertising and signs for special events
• Help update and maintain Veracross international learning study pages, school website and social media
• Oversee the organization and coordination of three to four global experiments per year; assist in the organization and coordination of all other global experiences
• Coordinate teacher exchanges with partner schools by meeting the needs of incoming and outgoing exchange teachers
• Register all MS and US experiences online with the US Department of State
• Collect and maintain office statistics
• Conduct, analyze and file annual faculty, student and community surveys regarding global experiences
• Collect and organize photo records (yearbook, advertising, and school records)
• Occasional travel or evening/weekend work will be required
• Order, organize and maintain office supplies

Financial Responsibilities:
• Monitor office cost center expenses (currently 29 accounts)
• Cash and process checks and credit card payments
• Maintain all global experience budgets
• Maintain Excel budget files and ensure all accounts remain balanced

Training, experience and skills:
• Strong interpersonal and intercultural skills: the ability to communicate clearly, effectively and friendly with various colleagues, students, parents and outside contacts
• Adaptable to new technologies and forms of communication (Veracross and BucsNet)
• Proficiency in Office 365, Microsoft Word, Excel, PowerPoint and Publisher. Experience with Google Forms and Docs
• Working knowledge of handling direct mail documents and creating labels
• Exceptional organizational and written/oral communication skills and enjoys responsibility for concurrent projects
• Bachelor’s degree required, preferably in a related field (education, communication, globalization, modern world languages, etc.)
• Able to communicate in two or more languages, preferably Spanish
